# Airline crew scheduling software: Build the roster around the real constraints.

Give crew planners a workspace for schedules, duties, qualifications, bidding, and operational changes. CREW Ai helps the team inspect the plan and manage the next decision.

## In brief: What is airline crew scheduling software?

Airline crew scheduling software, also called crew planning software, plans which pilots and cabin crew operate which flights. It builds pairings from the flight schedule, assigns them to named crew as a roster, checks each assignment against flight-time limitations, rest rules, and qualifications, and helps planners recover the plan when a disruption breaks it. CREW Ai is FlightAtom's crew scheduling and management product.

## How it works: From the flight schedule to a published roster.

CREW Ai follows the planning sequence a crew department already works to, and keeps the constraint behind each result open to inspection.

### Generate pairings

The pairing generator builds trip pairings from the imported flight schedule for bidding and rostering.

### Collect bids and preferences

Crew submit bids in their self-service portal. Locked commitments, leave, and training stay in the plan.

### Optimize within hard constraints

A constraint-programming optimizer assigns work within position coverage, flight-time limitation, rest, day-off, qualification, and locked-assignment constraints, then weighs bids, workload balance, and cost.

### Check legality before publication

Publication runs one all-or-nothing check of seat coverage, qualification currency, leave and training, crew location and feed freshness. A named administrator signs off, and if any check fails the previous roster stays live.

### Recover with minimal change

Recovery keeps unaffected assignments locked, frees only the affected crew and pairings, and returns up to ten ranked options that pass the flight-time checks and change as little of the published roster as possible. A duty manager approves an option, and CREW Ai re-validates it before it changes the roster.

### Plan reserves and workforce

Reserve sizing draws on recorded call-outs and approved recovery plans. Simulation compares staffing, reserve, and cost assumptions before they reach a roster.

## Inspect the roster in its operating context.

See assignments across the planning period, then follow the duty, person, or qualification behind a proposed change. This is the current CREW Ai interface with demonstration data.

CREW Ai is a [crew management system](https://www.flightatom.com/products/crew.html) as well as a scheduler: crew planning, pilot and cabin crew rostering, bidding, qualifications, and recovery work from the same crew records.

## Disruption recovery: Work through a disruption before changing the plan.

Example: an assigned crew member becomes unavailable. The planner needs an alternative whose assumptions and effects can be reviewed.

### Identify the affected duty

Start with the assignment and schedule coverage. Establish the affected flights, timing, and people before comparing alternatives.

### Inspect qualifications and constraints

Check the available qualification evidence and configured planning constraints. Keep missing or stale inputs visible in the review.

### Compare a proposed recovery

Use the disruption workspace to inspect a candidate plan against the original schedule. Review the changed assignments and constraint results together.

### Keep publication with the planner

The responsible planner validates the proposal and decides whether to apply it. Retain the reasoning and required operational checks.

## Evaluation: Bring a roster problem you can verify.

Use the same representative disruption to compare the current process with CREW Ai.

### Bring the baseline

Use a permissioned roster, qualification evidence, applicable planning rules, and an agreed disruption scenario.

### Check the resulting plan

Compare coverage, constraint exceptions, changed duties, reviewer corrections, and time to reach a reviewed decision.

### Keep training context distinct

MENTHOR Ai supports pilot development and training evidence. Define any record exchange separately from crew scheduling.

**Evaluation checklist for airline crew scheduling software**

| What to check | Why it matters | How FlightAtom approaches it |
| --- | --- | --- |
| Rules engine | A roster is only useful if it is legal under the operator's approved flight-time limitation scheme. | Assignments are checked by a dedicated rules engine, and a violation can be traced to the rule and the duty history behind it. |
| Cumulative duty history | Limits apply across rolling windows, so the check needs real duty history as well as the planned month. | Cumulative duty and flight time are loaded from published roster data before the optimizer and the legality check run. |
| Uncovered work | An optimizer that only reports "infeasible" leaves the planner without a next step. | Recovery returns ranked options that pass the configured rule checks and change as little as possible, and marks any duty it could not cover. |
| Qualifications and currency | A legal duty still needs a crew member who is qualified for the aircraft and route. | Qualification readiness exposes missing, expired, or unsupported credential evidence across the planning horizon. |
| Human authority | Publication and roster changes carry operational accountability. | The constraint solver produces roster and recovery options, and the in-app assistant can only read and simulate. A named administrator signs off publication, a duty manager approves each recovery, and both are written to the audit ledger. |
| Crew experience | Crew need their duties, bids, pay, and leave without calling the planning desk. | A separate self-service portal gives crew their own view while planners work in the operations console. |

### Operational boundaries

The flight-time limitation engine applies the FAA Part 117, EASA Subpart FTL or OTAR scheme the operation is set up on. Fatigue screening is a schedule-level planning aid and does not assess an individual's fitness for duty. Results depend on configured rules and current source records. The operator retains responsibility for legality, fitness for duty, and publication; AI output does not authorize an assignment.

## Questions & answers: Common questions about airline crew scheduling software.

### Which flight-time limitation rules does CREW Ai apply?

CREW Ai applies FAA Part 117, EASA Subpart FTL and the UK Overseas Territories Aviation Requirements (OTAR) flight-time limitation scheme. Each operation is set up on the scheme its authority requires.

### Can crew scheduling software recover a roster after a disruption?

Yes. In CREW Ai, recovery keeps unaffected assignments locked and proposes ranked options for the affected duties, changing as little of the published roster as possible. The duty manager reviews coverage and legality, then approves the option, and CREW Ai re-validates it before applying it.

### Does CREW Ai replace the crew planner?

No. CREW Ai prepares pairings, rosters, and recovery options and shows the constraints behind them. The planner validates the result and authorizes publication or a roster change.

### How should we evaluate crew scheduling software?

Use a representative roster period, your current rules, and a real disruption. Compare coverage, constraint violations, uncovered duties, planning time, and how clearly each product explains its result.

### What is the difference between crew scheduling software and a crew management system?

Crew scheduling software plans the work: pairings, rosters, and recovery. A crew management system also holds the crew records that planning depends on, such as qualifications, leave, and requests. CREW Ai covers both: planners build and recover rosters, and crew use a self-service portal for their duties, bids, and leave.

### What data does crew scheduling software need?

At minimum, the flight schedule, crew records with qualifications, the flight-time limitation scheme the operator is approved to use, cumulative duty history, and planned leave and training. Crew bids or preferences and reserve requirements improve the result.
